O365 has become an invaluable business tool in the modern workplace. It leads the way when it comes to workplace productivity suites; especially for mail, word processing, spreadsheets and presentations. As reliant as we are on these tools, have we really considered how protected our data is while using these programs? Typically, we just backup our work and data on the program itself and hope everything is in order.
But is it? Office 365 already provides two copies of standard backup via its OneDrive and on your device. But the reality is, Office 365 does not specialise in data backup and recovery. In fact, if you were to look at Microsoft’s service agreement for Office 365, they recommend that you back up your stored content and data regularly on third-party apps and services.
In most cases, whenever we try to recover a task, the process might be time-sensitive, especially if you don’t have a third-party backup tool. Hence, using the 3-2-1 backup rule, there should always be three copies of your data, with the third copy being on a third-party backup service.
Is it really necessary to enlist a third-party backup for your Office 365?
A third-party backup tool would allow us to locate and restore as many files as we need, or even restore entire users or folders to a point in time. In other words, you’ll have recovery and archival across several platforms and also save time on archiving as the entire process will be automated. Cloud to cloud backup would prevent any accidental or loss of data.
With approximately 4000 ransomware attacks daily, backup can reduce data-related risks. Backup services are able to automate compliance management for Office 365 with built-in templates to monitor user data for potential data risks while ensuring data regulations are met. If there are any threats across all cloud applications or non-compliance issues, you will receive alerts as well. To put it simply, you will have centralised visibility and compliance monitoring for mitigating data risks.
Imagine losing your sensitive data due to unforeseen events, especially those relating to legal requirements, and recoveries are not up to your business continuity requirements and level of granularity (email, file, folder, user, site, subsite). This could be catastrophic to business productivity; unless you have a third-party backup service running.
Enlisting a third-party backup service on the cloud ensures role-based dashboards provide easy access for legal and compliance teams to not only manage legal holds, but also access audit trails and view or remediate infractions across all end-user data at the global level.
